Receipts and logging Hospital official incoming and outgoing correspondence in the External Enterprise Correspondence System, distributing hand-carry correspondence through Hospital Representatives to appointed areas, and handling all Hospital urgent official outgoing express mail and incoming fax messages. In addition to leading the area of Incoming/Outgoing correspondence.
1. Leads the staff of Incoming & Outgoing correspondence are, acts as acting Manager of Administrative Communications Section when the Manager is away.
2. Receives Hospital incoming official correspondence and ensures that all belong to Hospital, logging all Hospital incoming correspondence in the system. Puts the label of date and incoming serial number. Send soft/hard copies to the concerned department after Department Head’s review and initial.
3. Receives outgoing official correspondence including urgent, confidential, and financial documents. Reviews and verifies complete documents with necessary enclosures and signatures, logging all in the system. Puts the label of date and outgoing serial number. Including attachments of all mail being dispatched to the Organizations/Government Agencies and places corresponding in Hospital envelop.
4. Handles all urgent official outgoing express mail received from different Hospital departments along with the Official Correspondence Mailing Request Form and makes sure letters are signed appropriately with complete addresses and telephone numbers in order to be sent thru Worldwide Express Courier Company.
5. Logs all Hospital Official incoming and outgoing correspondence in the External Enterprise Correspondence System in the Administrative Communications Section on a daily basis.
6. Handles all incoming official correspondence received through daily mail regarding patient treatment in the Hospital instructions and directions issued by Royal Orders or the Ministry of Health Committee. Logging in the External Enterprise Correspondence System before being sent to the concerned departments by hand thru Mail Distributors on the same day.
7. Answers all inquiries about the official incoming or outgoing correspondence after checking the External Enterprise Correspondence System and the necessary records.
8. Receives and distributes all incoming fax messages to the concerned Hospital departments & employees, and Royal Orders and patient-related medical records report to Medical Eligibility Department. Transmits international outgoing fax messages received from various Hospital departments.
Bachelor’s Degree in Business Administration, Hospital Administration, or other related discipline is required.
Three (3) years of related experience is required.
