Summary

Assists the manager in the day to day activities of Employee Files Section, directs the staff regarding workloads, and ensures that output is completed in timely and proper manner, in accordance to the regulations and bylaws. 

Essential Responsibilities and Duties

1. Audits, classifies, stores, retrieves, and updates employee files. 

2. Audits all processed transactions within the section to maintain accuracy. 
3. Assists and directs Employee Files staff regarding workloads. Ensures that output is completed in timely and proper manner. 
4. Assists in the development of Employee Files system and related technical enhancements.
 5. Coordinate with HITA and HRM-IT team in matters related to Employee Files/Oracle System, and perform testing of transactions, as needed.
 6. Collect, review and dispose of obsolete files in accordance with the National Centre for Archives & Records (NCAR) Regulations. 
7. Participates in the development and maintenance of the department guidelines, Administrative Policy And/or Procedure (APP), and internal policies and procedures (IPPs). 
8. Guides and trains Employee Files staff, orients new employees, assists with performance evaluations of section’s staff as required.
 9. Encourage and support junior employees to improve quality of work through employee engagement. 

Education

Master’s or Bachelor’s Degree in Hospital Administration, or other related discipline is required. 

Experience Required

Grade09:

One(1) year of related experience with Master’s, or three (3) years withBachelor’s Degree is required.

 

Grade10:

Three(3) years of related experience with Master’s, or five (5) years withBachelor’s Degree, including two (2) years of (Grade 09) experience is required.
